Collaboration Now is a powerful feature designed to simplify sharing and receiving feedback on artworks, especially from third-party experts or organizations who are not part of your project team. It allows external collaborators to review and revise artwork without being added to the project. Here's a step-by-step guide on how to use it:
Step 1: Select the Artwork
- Navigate to the project containing the artwork you wish to share.
- Ensure the artwork is in Rejected status.
- Important: If the artwork is not in the rejected status, the link will only be sent to the recipient once the artwork's status changes to Rejected.
Step 2: Open the Collaborate Now Tool
- Right-click or open the context menu for the artwork.
- Select the option labeled Collaborate.
Step 3: Enter the Recipient's Email
- Input the email address of the person you want to share the artwork with.
- You can choose between two sharing options:
- Secured Share:
- The recipient will receive a link but must enter and confirm their email to access the artwork.
- This ensures the link is only accessible to the intended recipient.
- Standard Sharing:
- The recipient will receive a link and can directly access the artwork without email confirmation.
- Secured Share:
Step 4: The Recipient Views the Artwork
- The link grants access to the Viewer, where the recipient can:
- View the artwork in detail.
- Check the revision history.
- Read all comments.
- Download a preview of the artwork.
- Upload a new revision of the artwork.
Step 5: After Uploading a New Revision
- Once the recipient uploads a revision, the link becomes inactive.
- If the updated artwork is rejected again, the link will automatically reactivate, allowing the recipient to:
- View the artwork again.
- Upload further revisions as necessary.
Benefits of Using Collaboration Now
- Streamlines collaboration with external partners without adding them to the project.
- Keeps all feedback and revisions organized within the Viewer.
- Eliminates the need to generate new links for each revision cycle, saving time and effort.
By following these steps, you can efficiently manage external feedback, ensure revisions are completed seamlessly, and maintain control over your artwork approval process.
